Privacy Policy

Overview

This Privacy Policy explains how SwiftWorks Technology LLC (“SwiftWorks,” “we,” “us,” or “our”) collects, uses, shares, and protects personal information. It covers:

• our website at swiftworks.tech;
• our software applications and integrations, including applications that connect to Intuit QuickBooks Online and other third-party platforms;
• our text messaging (SMS/MMS) programs; and
• our other interactions with you (together, the “Services”).

Use of the Services is also governed by our Terms of Service. If you are a managed-services client, how we handle data in your environment is also governed by your signed agreement with us.

Information We Collect

Information you provide

• Contact and business details: name, company, job title, email address, phone number, and message content when you submit a form, request a quote, contact us, or communicate with us.
• Job applicant information: résumé, work history, qualifications, and contact details you submit through our careers pages.
• Client service information: support tickets, account contacts, and details you provide so we can deliver services.
• SMS information: your mobile number, your opt-in or opt-out status, the date, time, and method of consent, and message content.

Information from connected platforms

When you authorize one of our applications to connect to a third-party platform, we receive the data that platform makes available under the permissions you approve (“Connected Account Data”). Platforms include Intuit QuickBooks Online, Microsoft 365, RingCentral, and ticketing or PSA tools.

For QuickBooks Online, this may include company profile information, customers, vendors, invoices, bills, payments, items, accounts, and related transaction and report data. We also receive OAuth authorization tokens and company identifiers, which we use only to keep the connection working.

Information collected automatically

• Usage and device data: pages visited, referring pages, time on site, browser type, device type, and approximate location derived from IP address.
• Cookies and similar technologies: see “Cookies and Analytics” below.
• Application logs: security and diagnostic logs, such as sign-in events, errors, and API call status. These are designed not to record passwords or the contents of your financial records.

How We Use Information

We use personal information to:

• respond to inquiries, provide quotes, and deliver and support the Services;
• operate the features of our applications for you. For example, we use Connected Account Data to sync, report on, reconcile, or automate tasks in the accounts you connected;
• send service, support, account, and appointment communications, including text messages you have consented to;
• evaluate job applications;
• send marketing communications where permitted, with an option to opt out;
• secure, monitor, troubleshoot, and improve the Services;
• comply with legal obligations and enforce our agreements.

QuickBooks and Connected Account Data

We treat Connected Account Data, including data from Intuit QuickBooks Online, with additional restrictions:

• We use it only to provide the application functionality you requested, within the permissions you granted.
• We do not sell it. We do not use it for advertising or marketing. We do not share it with third parties except service providers who help us operate the application under confidentiality obligations, or as required by law.
• We do not share one customer’s data with another customer, and we do not combine it across customers. Any aggregate insight would be based only on de-identified, aggregated data.
• We do not use it to train general-purpose AI models that are made available to anyone else.
• OAuth tokens are encrypted at rest and never exposed in the application or shared with other parties.
• We store only what the application needs to function, and we do not keep copies for unrelated purposes.
• Connected Account Data is stored and processed in the United States.
• SwiftWorks processes this data on your behalf and under your authorization, not on behalf of Intuit Inc.

You can revoke access at any time by disconnecting the application in your QuickBooks Online account settings (or the relevant platform), or by contacting us. After disconnection, we stop retrieving data. We delete Connected Account Data we hold within 30 days unless you ask us to export it first, or unless we are legally required to retain it.

Text Messaging (SMS) Privacy

When you opt in to receive text messages from SwiftWorks Technology, we collect your mobile phone number and a record of your consent. We use them only to send the types of messages described in our SMS Terms and to honor your opt-out and help requests.

How We Share Information

We do not sell personal information, and we do not share it for cross-context behavioral advertising. We share personal information only with:

• Service providers that help us operate our business and the Services, such as hosting, email, messaging delivery, analytics, and IT tools. They may use the information only to perform services for us and must protect it.
• Third-party platforms you direct us to use. For example, we may write data back to your QuickBooks Online company when an application’s function requires it.
• Legal and safety recipients, when required by law, legal process, or to protect the rights, property, or safety of SwiftWorks, our clients, or others.
• A successor entity in connection with a merger, acquisition, financing, or sale of assets. That entity remains bound by this Privacy Policy.

All of the categories above exclude text messaging originator opt-in data and consent. SMS opt-in data and consent will not be shared with any third parties under any of these categories.

Cookies and Analytics

Our website uses cookies and similar technologies. You can manage your preferences through the consent banner on our site and through your browser settings.

• Necessary cookies: required for the site to function and stay secure.
• Analytics cookies: help us understand how visitors use the site (for example, Google Analytics through Google Tag Manager).
• Marketing cookies: used to measure campaign performance, only where you have allowed them.

Google’s use of data is described in Google’s own privacy policy. You can opt out of Google Analytics with Google’s browser add-on.

Data Security

We use administrative, technical, and physical safeguards designed to protect personal information. These include:

• encryption in transit (TLS 1.2 or higher);
• encryption of stored credentials and tokens;
• least-privilege access controls;
• multi-factor authentication for administrative access; and
• security monitoring.

No method of transmission or storage is completely secure. If a breach affects your personal information, we will notify you as required by applicable law.

Data Retention

We keep personal information only as long as needed for the purposes described here, to meet our contractual commitments, or to comply with legal, tax, and accounting obligations.

• Connected Account Data: deleted within 30 days after you disconnect, as described above.
• SMS consent records: kept for as long as needed to show compliance with messaging laws, including after you opt out.
• Applicant information: kept for a reasonable period after the hiring decision.

Your Rights and Choices

Depending on where you live, you may have the right to:

• access personal information we hold about you;
• correct it;
• delete it;
• receive a portable copy;
• opt out of targeted advertising, sale, or profiling; and
• appeal a decision we make about your request.

These rights include those under the California Consumer Privacy Act, the Texas Data Privacy and Security Act, and other U.S. state privacy laws. We will not discriminate against you for exercising them.

To make a request, email sales@swiftworks.tech with the subject line “Privacy Request,” or call (855) 492-2825. We will verify your identity before responding. An authorized agent may submit a request on your behalf with proof of authorization.

You can unsubscribe from marketing emails using the link in any email. You can stop text messages by replying STOP.

If you are a client’s employee or customer and your information is in our client’s systems, we may refer your request to that client.

Children’s Privacy

The Services are intended for businesses and are not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will delete it.

Third-Party Links

Our Services may link to or integrate with third-party websites and platforms. Their privacy practices are governed by their own policies, which we encourage you to review.

Changes to This Policy

We may update this Privacy Policy from time to time. We will post the updated version here and revise the “Last updated” date. If changes are material, we will provide additional notice where appropriate.

We will not apply material changes to how we use Connected Account Data or SMS consent data without giving you notice and, where required, getting your consent.
